Terms of Service
The agreement between your institution and VendorSteward — plain language, no surprises. Last updated: September 12, 2026.
01Accepting these terms
VendorSteward is provided by VendorSteward. By creating an account, inviting users, or using the service in any way, you agree to these Terms of Service.
If you use VendorSteward on behalf of a credit union or other institution — for example as an employee, officer, or engaged consultant — you confirm you have the authority to accept these terms on its behalf. Throughout these terms, “you” and “your” refer to your institution.
02What the service is
VendorSteward is a hosted web application for vendor renewal management. It lets your institution track vendor contracts, renewal dates, notice periods, and the “decide-by” deadlines they produce, along with costs, payment methods, contacts, and the contract documents themselves — for your whole team, in one place.
We may improve, update, or adjust features of the service over time. Material reductions to what your subscription covers will not take effect mid-term without your consent.
03Subscription, billing & cancellation
VendorSteward is sold as an annual subscription at a flat rate per institution — $499.99 per year — with unlimited vendors and unlimited users at your institution. There are no per-seat fees.
Every new subscription starts with a 90-day free trial. No credit card is required to start, and nothing is charged during the trial. When the trial ends, continuing simply means entering payment details; until you do, nothing is charged and your data remains in place.
Payment is processed entirely by Stripe on its hosted, PCI-compliant checkout. We never see or store your card details. The subscription renews automatically each year until cancelled.
You can cancel at any time from your billing portal. Cancellation stops future charges; your access continues to the end of the current paid year. A lapsed or cancelled subscription never deletes your vendor data — it is locked, not erased, and restored the moment you reactivate.
04Your data is yours
You own all vendor and contract data you enter into VendorSteward. We claim no ownership of it, and we will never sell it or share it with other subscribers.
We use your data only to operate the service for you — storing it, enforcing isolation between institutions, sending the renewal reminders your team configures, and supporting you. You can export the full vendor ledger as CSV at any time, and if you ever leave, we will help you take everything with you.
05Acceptable use
You agree not to use VendorSteward for any unlawful purpose; to attempt to access, modify, or inspect another institution’s data; to probe, scan, or test the security of the service beyond your own account; to reverse engineer it; to interfere with its operation; or to introduce malicious code.
Accounts and access are for your institution’s team. Keep credentials to your own users, and use the invite system to add teammates. We may suspend access that violates these rules or threatens the service or other subscribers.
06Limitation of liability
The service is provided “as is” and “as available.” While we work to keep VendorSteward reliable, we do not promise it will be uninterrupted or error-free, and we disclaim implied warranties to the fullest extent permitted by law.
To the maximum extent permitted by applicable law, our total liability for any claim arising out of or relating to the service is limited to the subscription fees you paid us in the twelve months before the claim arose. Neither party is liable for indirect, incidental, or consequential damages.
07General & contact
These terms are governed by the laws of the State of Nevada, without regard to conflict-of-law rules. If any provision is found unenforceable, the rest remain in force.
